Vehicle
—›Scanning reads the barcode on the door-jamb sticker — the dash plate through the windscreen has no barcode on it, so for that one take a photo and type the VIN. Hold the phone about a hand's width away and keep the bars inside the box.
The barcode can run either way — do not turn the phone. The
screen turns with it and the box ends up crossways again. Hold it upright and tap
↻ if the box does not match. It reads both ways whichever the box shows.

Photos, Memos & Notes
0›Auto-shrunk to keep the file small. Shoot the VIN plate, the leak, the wear, and any damage you did not cause. That last one is free insurance.
Record what they tell you at the vehicle, or upload the voicemail or WhatsApp note they sent you. Each clip gets its own transcript box.
Dictation and recording both need the microphone, so they never run at the same time — stop one before starting the other. If a clip has no transcript, tap Save file on it and attach the audio to Claude; it will transcribe it and fold it into the diagnosis.

Known Issues for This Vehicle

6
Diagnosis
—›Packages everything above and sends it to Claude with the diagnostic
skill — test sequence, priority order, hours and money, and a message you can send the
customer. It saves onto the job and goes to Drive with the rest of it.
No key, or no signal in this driveway? Copy the
packet, run it in the Claude app with the skill, then paste the answer back in above.

Line Items
0›No lines yet. Search above to add one. Every seed time is a planning range, not book time — anything over 2 hours, look it up in a real labor guide before you quote it.
2
Materials & Rental
—›Things you buy or hire for the whole job rather than for one operation —
duct and fittings, refrigerant, sheet metal, a lift or a crane for the day. Parts that
belong to a single operation still go on that line item.

The Number
—›Friends-and-family price, a fleet rate, a job you're eating some of — put it here. It only affects this job.
Prints under What could change this number. This is the sentence
that stops an overrun turning into an argument.
Prints on both the estimate and the invoice, under Notes. It is the
part they actually read — put the value you added here.
Four sentences and a range — what you send from the driveway when they
just want to know what it costs. The estimate sheet below is the one you get signed
before you order parts.
Print it or save to PDF from your phone's share menu. Get it signed or texted back before you order parts.

Conditions on This Job
1.00×›These carry over from your last job, because most of them are facts about how you work rather than about this vehicle. They stack multiplicatively, capped at 2.2× before your personal multiplier — past that you are not estimating, you are gambling. Quote it time-and-materials or walk.
5
Receipts
0›Photograph every receipt as you get it. They total into your real parts cost and land on the invoice with markup applied — you never retype a parts list.

Job History
0›🐝
Business Name
—›What customers see — the top of every estimate and invoice, and what
goes on the truck.
The registered name behind the trade name. If it differs from the
trading name, paperwork carries a line saying so — which is what makes a trade name
legally clean, and what the Motor Vehicle Repair Act wants to see on an automotive
invoice. Leave it blank if they are the same.
$
Rates
—›Blank means "use the shop rate above". Set a line only where it genuinely
differs — mechanic work and gutter cleaning do not bill the same, and one number for
both was always a simplification. A single job can still override its line on the
estimate.
Three separate dials because the three behave differently. Parts is a
distributor item you resell. Materials you often buy in bulk at a discount, so the
margin you need on them is your own call. Rental covers pickup, return, damage risk
and a day you cannot use the machine elsewhere — marking a $400 crane day up at parts rates
prices you out of the job.
Just the handle — no @, no venmo.com. The invoice builds a link that
opens Venmo with your name, the amount and the invoice number already filled in.
Your Stripe payment link (the one set to let the customer choose the amount).
Each invoice opens it with the balance filled in and the job number attached, so every Stripe
payment says which job it was for. Card, Apple Pay, Google Pay and bank transfer (ACH, the cheapest).
A Venmo business profile keeps 1.9% + $0.10 of every payment.
Tap to Pay is 2.29% + $0.10. A personal handle keeps nothing — but taking business money
through a personal account is against Venmo's own user agreement, so if you are on a
business profile, these are your real numbers.
Add it puts the fee on the Venmo link, the QR code and the text
message only. The invoice total stays the same, and it says in plain words what Venmo
costs and that cash and check cost nothing. If you have already typed a Venmo or
processing-fee line onto a job, it is not added a second time.
Keep the rate at Venmo's real number. Colorado allows passing a card fee on, but caps it at the lesser of 2% or what it actually costs you and wants it disclosed before they pay — the invoice, estimate and quote text all say it. On small tickets (under about $100) 1.9% + $0.10 comes to a hair over 2%. Not a lawyer; worth a question to your accountant if you do a lot of small Venmo jobs.

The link does nothing on a sheet of paper. The code is what gets your
Venmo onto their phone when you are both standing in the driveway — including
when you are just holding up your own screen.
Round trip, door to door, including the time in the shop. This is what a
sublet really costs you — rotor turning, a machine shop, a part you have to fetch.
The Turn or replace? button on the Estimate tab prices it against fitting new,
and the answer is usually not the one that feels generous.
What a customer pays per mile when you switch charging on for a trip.
Leave it at 0 if you never bill mileage — your deduction does not depend on this.
The IRS rate changes, and it changed mid-2026 — 72.5¢ to 1 July,
76¢ after. Each trip is valued at whatever was in force the day you drove it, so a year
that straddles a change still comes out right.
Write {parts}, {materials} or {rental} and the live
percentage is filled in, so the sentence can never drift out of step with what you are
actually charging. Marking parts up is normal and defensible; being found out having done
it quietly is not. Saying it plainly also does real work for you — it is the sentence
that explains why a part you supplied is warranted and one they supplied is not.
🤝
Customer Terms
—›Some customers have a deal. Write it down once against the name and it
applies itself every time that name is on a job — so you are not remembering it in a
driveway at seven in the morning, and not quietly forgetting it either.
Leave a field blank to use your normal rate. Zero is a real answer — a 0% parts markup is a deal, not a missing setting.

Common Jobs
—›The same three or four lines you add every time, in one tap. There are
some already built in for automotive and handyman work — these are the ones you saved
yourself, which can hold custom lines and hand-edited hours the built-in ones cannot.
A common job adds lines. It never clears the estimate, so you can stack two and delete what does not apply.

Flat Rates
—›A flat rate is a price you can say on the phone without thinking. Give each
one the hours you expect it to take — that is what lets the app tell you later
whether the price is holding up, and it keeps your calibration honest instead of
learning that a floor takes one hour.
Flat covers labour only. Parts and materials still add on at your markup.

This is only the starting guess. Once you've logged 3+ jobs in a category, the estimator uses your real median instead and tells you it's doing it.

Business Targets
—›Parts cost is already subtracted from your realized rate, so don't count it twice here. Overhead = truck, fuel, tools, insurance, phone, software, and self-employment tax. 30% is a reasonable solo-shop starting assumption — replace it with your real number once you have a few months of books.
💾
Shop File
—›Your work saves itself. Every change is written to this browser within a second, and it comes back when you reopen the page — even if the tab crashes or your phone dies. Save file is now for backup and for moving to another phone or computer, not for keeping your place.
Autosave lives in this browser on this device. Clearing your browsing data wipes it, and it does not follow you to another phone. Export a file every week or so and keep it somewhere real.

Earlier Saves
—›The app keeps a rolling set of earlier copies on this device, by itself,
roughly every ten minutes you are working. If a job ever goes wrong — a bad pick-up, a
mis-tap, or something the app itself gets wrong — you can step back to one of these
instead of rebuilding an afternoon from memory.
Photographs are left out of these copies to keep them small. The words, hours, receipts, trips and money all come back; the pictures do not.

Phone ↔ Laptop
—›Your phone and laptop keep each other up to date on their own. The first
time, sync on the device that has your latest work, then on the other one.
This rides on the same Google Drive connection below, so set that up
first. On a second device you only need to paste the same client ID once — everything
else travels.

ALREADY SET UP — READ IF YOU MOVE THE SITE
The client ID is built into the app, so a new
phone or laptop needs nothing typed into the box above. The one thing that will
break it is changing the address this app is served from — the OAuth client only accepts
requests from addresses on its own list. If you move hosts or rename the site, add the
new address under Authorised JavaScript origins at
console.cloud.google.com/auth/clients; the Copy this address button above
gives you the exact string. Google says allow 5 minutes to a few hours for it to take
effect, and it means it.
STARTING OVER WITH YOUR OWN CLIENT
1. Go to console.cloud.google.com and create a project (any name).
2. Search for Google Drive API and hit Enable.
3. Go to APIs & Services → OAuth consent screen. Pick External, fill in the app name and your email, and add yourself under Test users. You do not need to publish or get it verified — test mode is fine for your own use.
4. Go to Credentials → Create credentials → OAuth client ID → Web application. Under Authorised JavaScript origins add the exact address this app runs at, with no trailing slash — for example

The first time you connect, Google will warn you the app isn't verified.
That's because it's yours and unpublished — click through it. The app asks for
drive.file only, which lets it see and change files it created and nothing
else in your Drive.

How This Works
read once›The loop
1. Intake — capture the job at the customer's driveway. Photo the VIN plate (it
reads the barcode where your phone supports it, and checks the VIN for typos either way).
Build the AI brief, paste it into Claude with the Bumblebee Diagnostic skill.
2. Clock in — the ▶ In button on the bottom bar works from any tab. Wrench and diagnostic time is billable; travel and parts runs are tracked separately as unbilled. A running clock shows in a red strip at the top and survives saving and reopening the file.
3. Estimate — pick the operations, tick the conditions, set a job rate if this one's priced differently. Snap every receipt as you get it — vendor and total, thirty seconds. Print the estimate sheet and get it authorized before you order parts.
4. Invoice — the Final invoice button builds from your actual clocked hours and your actual receipts with markup applied. You never retype a parts list.
5. Log — close it out. Use these numbers pulls your clocked hours and receipt totals straight in.
6. Numbers — every logged job sharpens your multipliers and tells you which work actually pays.

Why the log matters more than anything else here
The seed times in this app are generic planning ranges. They are not book time and they
don't know your tools, your driveway, your region's rust, or your speed. Every job you
log replaces a guess with a fact. At 3 jobs in a category the estimator switches to
your median. By 20 jobs your numbers beat any generic guide for your setup. That
table is the most valuable thing this business will own in year one — and the reason to
never skip the 60 seconds of logging.
What this is not
Not a labor guide — check anything over 2 hours against Mitchell 1, ALLDATA or MOTOR
before it becomes a written quote. Not an invoicing system — use Square or Wave for
taking money. Not legal advice — estimate and re-authorization rules vary by state and
you should confirm yours.
